Process Outline

Registration involves three-stages:

  1. Pre-registration: The student checks/amends their personal and academic details on-line using WebSURF
  2. College Approval: The student's Adviser of Studies checks/amends and approves the details;
  3. Final Registration: The student completes registration with the Registry in person or by post.

New Students

  • You must pre-register online using WebSURF, if possible before 31st August. The University Registry will send you a letter with details of the website and an Account Access Notification (AAN). You cannot access WebSURF without your AAN.
  • A Wizard will take you through the pre-registration procedure. You can save your data whenever you like and resume the procedure later on. To complete the pre-registration process you are required to check/amend the following data:
    • PERSONAL INFORMATION. The personal data already held on you is taken from your UCAS application. If there are errors or omissions, you must correct the entry or enter the required information.
    • ACADEMIC DATA. The data initially entered in your record is based on the degree subject and year of entry for which admission has been granted. If you think that this data is not correct you should complete the pre-registration without changing it and raise the matter with your Adviser of Studies at the enrolment meeting.
  • On completion of pre-registration you will receive an 'on screen confirmation' that you have correctly completed pre-registration. Your status on the WebSURF screen will change from "Not registered" to "Pre-registered".
  • Your Adviser of Studies must verify and approve your registration details before you can fully register. Your adviser might be able to do this remotely, in which case your status will change to "College Approved" or it will be done at the enrolment meeting. Enrolment meetings with Advisers of Studies will be held for new students at the following times and places:
    • Level 1:
      • Mech/MEA: 14th September 2010 at 9:30am in room JWS375 (J15) in the James Watt South building.
      • MDE/PDE/Biomedical Engineering: 14th September 2010 at 11:00am in room JWS375 (J15) in the James Watt South building.
    • Level 2: 13th September 2010 at 2:00pm in room JWS544 in the James Watt South building.
    • Level 3: 14th September 2010 at 3:00pm in room JWS544 in the James Watt South building.
    • Level 4/5: 14th September 2010 at 4:00pm in room JWS544 in the James Watt South building.
    • Erasmus exchange students etc.
      The following is a list of suitable times. All in room JWS654, 3rd floor of the James Watt South building:
      • 7th September 2010 from 10:00am to 12:00
      • 9th September 2010 from 10:00am to 12:00
      • 13th September 2010 from 10:00am to 12:00
      Students should choose a time slot from the sheets on the door to make individual appointments.
    • MSc. Students: 14th September 2010 at 9.30 am in Computing Suite, Room 544 of the James Watt South building
  • Once your Adviser of Studies has approved your registration details (this will be indicated by the "status" field on WebSURF, which will change from "Pre-registered" to "College Approved"), you must complete final registration in person in the Hunter Halls in the main building (A14 on the campus map) on Wednesday 15th September 2010 at the time scheduled in the registration timetable. When you attend final registration you must take with you your Account Access Notification (AAN) letter as a means of identification. Please read the guidance on registration and fee payment on the Registry web page. Follow the instructions carefully and make sure you take with you any documentation concerning your tuition fees, or payment if appropriate, so that you are able to complete registration and receive your student id card. Once you have completed final registration, your status on the WebSURF screen will change from "College Approved" to "Registered". A confirmation email will be sent to you at this time.

Continuing Students

  • You must pre-register online using WebSURF, which you can access using your existing student ID and password. Your data for the new session will be accessible from 1st August. If you have no resits, then please pre-register before 31st August.
  • You can still pre-register if you have resits, but your Adviser of Studies will not be able to approve your curriculum until after the resit exam board.
  • You can go back into WebSURF to change your course choices after completing pre-registration, for example once your resit results are known. You must not make any changes after your Adviser of Studies has approved your curriculum without his/her prior agreement.
  • A Wizard will take you through the pre-registration procedure. You can save your data whenever you like and resume the procedure later on. To complete the pre-registration process you are required to check/amend the following data:
    • PERSONAL INFORMATION. The personal data already held on you is taken from the most recent modification of your record. If there are errors or omissions, you must correct the entry or enter the required information.
    • ACADEMIC DATA. The data initially entered in your record for subject, degree, level of study etc. is based on predictions that assume successful completion of the previous level of study. If you think there are errors then you should contact your Adviser of Studies.
    • CURRICULUM CHOICE. The data initially entered in your record is based on standard predictions for courses corresponding to the predictions for subject and level of study. You should check these against the curriculum details that are available in the Undergraduate Handbook and select or change any optional courses. If you have any queries about your curriculum then you should contact your Adviser of Studies. If you have not fully completed the previous level of the curriculum, or if you are following a non-standard curriculum, then you should complete the pre-registration procedure with the curriculum as it is and you will need to discuss and agree your curriculum with your Adviser of Studies at the enrolment meeting.
  • On completion of pre-registration you will receive an 'on screen confirmation' that you have correctly completed pre-registration. Your status on the WebSURF screen will change from "Not registered" to "Pre-registered" Before you can fully register, your Adviser of Studies must verify and approve your registration details. If you are following a standard curriculum this may be done online and will be indicated in the "Status" field on WebSURF, which will change from "Pre-registered" to "College Approved". If you are following a non-standard curriculum, or if the "Status" field shows that your Adviser of Studies has not yet approved your curriculum, you must attend the enrolment meeting with your Adviser of Studies. These will be held for continuing students at the following times and places:
    • Level 1:
      • Mech/MEA: 14th September 2010 at 9:30am in room JWS375 (J15) in the James Watt South building.
      • MDE/PDE/Biomedical Engineering: 14th September 2010 at 11:00am in room JWS375 (J15) in the James Watt South building.
    • Level 2: 13th September 2010 at 2:00pm in room JWS544 in the James Watt South building.

  • Once your Adviser of Studies has approved your registration details (indicated by the "status" field on WebSURF showing "College Approved"), you must complete registration by following the Registry instructions. Please note:
    • Your current student id card should be retained and will be valid for the complete duration of your course.
    • Sponsored students must send the Registry a copy of a letter from their sponsor, which confirms that they will pay the students tuition fees for session 2010-11. This will allow Registry to send an invoice for the tuition fees to the sponsor. You should write your full name and student number on the top of a copy of the letter from your sponsor and send it to: Registry (Fees), University of Glasgow, G12 8QQ. Please note that it is important that you send a copy and not the original because documents cannot be returned;
    • Registration must be completed by 25th September 2010;
    • Once you have completed final registration, your status on the WebSURF screen will change from "College Approved" to "Registered" A confirmation email will be sent to you at this time.
